Element Voice — AI phone receptionist

Does it sound like a robot, or like a real receptionist?

Like a real receptionist. We use neural voice models (Synthflow / Vapi / ElevenLabs class) that carry natural intonation, pauses, and a conversational rhythm. Most callers do not realize they are talking to an AI in the first minute. We can also custom-tune the voice — gender, age, accent, and pace — to match your business's brand.

Can my callers still talk to a real human if they want?

Yes. We program a "transfer to human" path into every agent. The trigger can be a keyword ("speak to a person"), a topic Element Voice cannot handle, or a fallback after a number of failed clarifications. Calls forward to any phone number you choose — your cell, an office line, an answering service. If you would rather have the AI take a message and email you the transcript instead of transferring live, we can do that too.

Can I use my existing business phone number?

Yes. We port or forward your existing number so callers dial the same number they always have. Two common setups:

  • Forward unanswered calls: your existing phone rings first; if you do not pick up in 3–4 rings, the call forwards to Element Voice.
  • Full takeover: all calls go to Element Voice 24/7. Your existing line can sit idle or be retired.

Setup happens during onboarding and takes 5–10 minutes with your carrier. We walk you through it.

What languages does Element Voice speak?

English (US, UK, AU) is the default and what we tune most carefully. Spanish (US and Latin American), French, German, Italian, Portuguese, Polish, Dutch, Japanese, Korean, and Mandarin are all supported with good quality. We can build a bilingual agent that auto-detects the caller's language and responds appropriately — common request from US-based businesses with Spanish-speaking customers. We do not currently support low-resource languages with high accuracy.

Does it integrate with Google Calendar (or other calendar systems) for bookings?

Yes — Google Calendar is the default integration on Pro and Elite tiers and works out of the box. The agent reads your real-time availability, books the slot during the call, and writes a calendar event with the caller's name, phone number, and the topic.

We also support Microsoft 365 / Outlook Calendar, Calendly, Acuity, Square Appointments, and Jobber. If your scheduling tool exposes an API or iCal feed, we can wire it. If you do not have one, we can email you a daily schedule digest instead.

What happens if Element Voice runs out of included minutes?

Calls keep going through — we do not cut you off mid-month. Minutes used beyond your tier's monthly allotment bill at $0.25/minute on the next invoice. We email a notification when you hit 75% and 100% of your allotment so there are no surprises. If you find yourself consistently going over, we will recommend bumping to the next tier (which has a better effective per-minute rate).

How long does a build take?

48 hours from the time we receive your content and brand assets (copy, photos, logo, color preferences). Most builds land within 24–36 hours. If you need a custom multi-page site, e-commerce, or unusual integrations, we will scope it on a quote call and give you a realistic timeline — typically 5–10 business days for those.

Do I own the website when you're done?

Yes, you own it outright. The $349 one-time fee includes full ownership of the code and design. We hand over the source files, deploy it to your hosting (or our hosting if you prefer the add-on), and there is no monthly fee if you self-host. We do not lock you to a proprietary platform. If you ever want to move the site to another host or developer, you can — no permission needed.

How is the chatbot trained on my business?

During onboarding we collect your services, pricing, hours, FAQ answers, booking policies, and any nuances ("we never quote on the phone", "always recommend Pro to plumbers", etc.). We turn that into a structured system prompt and knowledge base that the chatbot uses on every conversation. You can update the knowledge base any time by emailing us — most changes are reflected in under 4 hours, no charge.

What happens if the chatbot doesn't know an answer?

The chatbot is configured to be honest — it says it does not have that information and asks the visitor to leave their email or phone so we can follow up. It never invents prices, hours, or policies it has not been trained on. After the conversation, we get an email summary of any unanswered questions so you can decide whether to add them to the knowledge base. This keeps the bot helpful without becoming a liability.
